New Trucking Company Startup Checklist

  • Apply for Federal Motor Carrier Safety Administration(FMCSA) Operating Authority and USDOT Number. The Motor Carrier (MC) Number is usually issued upon completion of the application. Your Operating Authority will be granted after your insurance and process agents are filed with the FMCSA. You are not legal until you have your Operating Authority and required permits. 

 

  • Once you have been issued your MC number:
    a.) Contact your insurance agent with the MC number and request your insurance requirements be filed.
    b.) Purchase a BOC-3 form or Designation of Agents form to be filed with the FMCSA.

 

  • Obtain Single State Registration (SSRS) from your state. If your home state doesn't participate in single state registration, choose a base state from those states you will travel through.

 

  • If you will be traveling in New York you will need a New York HUT sticker if (gross weight is over 18,000).                                           **Requires Quarterly Tax reporting.**

 

  • If you will be traveling in Kentucky you will need a KYU number if (gross weight is over 60,000) .                                                         **Requires Quarterly Tax reporting.**

 

  • If you will be traveling in New Mexico you will need a New Mexico Cab Card if (gross weight is over 28,000) .                                                      *** New Mexico does allow you to pay at port of entry instead of purchasing this permit: Port of entry method will save you from doing quarterly tax filings if your are not going to travel to New Mexico on a regular basis. ***

 

  • If you will be traveling in Oregon you will need an Oregon Highway Use Tax Permit. This permit requires a bond.                                                *** Oregon does allow you to pay at port of entry instead of purchasing this permit: Port of entry method will save you from doing quarterly tax filings if your are not going to travel into there state on a regular basis.***

 

  • If your gross vehicle weight is over 26,000 and are traveling Interstate an International Registration Plan (IRP) or pro-rated tag is
    required.

 

  • Next you will need to apply for your International Fuel Tax Agreement (IFTA) **Requires Quarterly Tax reporting.**

 

Finally, make sure you have all the above paper work in order, you have a system in place to tracking your state mileage and fuel charges for your quarterly reports and are following all the DOT regulations ( See DOT
Compliance List
).
